Marketing Automation
Marketing automation for lead capture, follow-up and campaign attribution
We connect your website forms, Meta and Google lead ads, WhatsApp, email and CRM so each enquiry is recorded once, acknowledged on the channel it came from, nurtured until it is ready for sales and reported against its source. Built on n8n and direct APIs, with consent recorded on every contact and an alert whenever a step fails.
Every lead followed up, every time.
The problem
The problem it solves
Marketing automation is software that runs repeatable marketing tasks by rule instead of by hand: capturing leads from forms, ads and messaging apps, recording them in a CRM, sending timed follow-up by email or WhatsApp, scoring engagement and moving contacts between pipeline stages. A complete setup also records each lead's source, so sales can be traced back to the campaign that produced them.
The leak in most marketing funnels is not the number of enquiries. It is what happens between systems: the lead ad nobody downloaded, the WhatsApp message read on one person's phone, the nurture email sent to someone who has already bought. Each tool runs its own rules, so follow-up is uneven and the CRM cannot say which campaign produced a sale.
- 01Meta and Google lead form submissions wait inside the ad platforms until someone downloads a CSV, sometimes days after the person asked to be contacted.
- 02Enquiries that arrive in the evening or at the weekend get no reply until someone opens the inbox, by which time the prospect may have asked a competitor.
- 03Follow-up stops after one or two messages because no one owns the sequence, even though many buyers need several useful touches before they are ready to talk.
- 04UTM tags and click identifiers are lost when a lead is retyped or imported from a spreadsheet, so many deals in the CRM show no source at all.
- 05An unsubscribe in the email tool never reaches WhatsApp or the CRM, so people who opted out are contacted again from another system.
- 06One contact can sit in two sequences at once and receive a nurture email and a WhatsApp reminder on the same afternoon, because each tool applies its own timing rules.
Who it is for
Built for teams like yours
Service businesses that live on enquiries
Clinics, property agents, training providers, interior and home-improvement firms where the business that replies first and keeps following up often wins the booking.
Marketing teams running lead-generation campaigns
Teams spending on Google, Meta, LinkedIn or TikTok ads who need lead quality and closed revenue fed back to each campaign, not just a count of form submissions.
Teams whose platform fees grow with their list
Organisations paying a marketing platform by contact count for features they barely use, who would rather keep their CRM and run sequences and integrations on infrastructure they control.
Multi-branch and multi-market organisations
Businesses selling across the UK, Pakistan, Saudi Arabia or several branches that need leads routed by location, language and service line to the right team.
Solution architecture
How it fits together
Your CRM stays the system of record and your email and WhatsApp providers do the sending. The automation layer sits between them, deciding who receives which message and when, and logging every decision so any contact's history can be traced step by step.
- 01
Lead intake and attribution
Meta and Google lead form webhooks, website forms with hidden fields for UTM tags and click identifiers, and click-to-WhatsApp entry points feed one intake, so every lead carries its source from the moment it arrives.
- 02
Identity and consent
Incoming contacts are normalised, matched against existing records by email and phone number, merged where it is safe, and stored with the consent they gave and where they gave it.
- 03
Sequence and routing engine
n8n workflows apply routing rules, start and pause sequences, wait for replies or events and branch on behaviour. Each contact's position in a sequence is stored, so retries and restarts do not resend a message.
- 04
Messaging
Email through your sending service and WhatsApp through the Business Platform, using approved templates, quiet hours and per-contact frequency caps, with replies and opt-outs written straight back to the contact record.
- 05
CRM and event store
Your CRM remains the system of record for contacts, deals and owners, while a PostgreSQL store keeps the event history and run logs that most CRMs do not hold well.
- 06
Attribution and reporting
Leads, stages, revenue and ad spend joined by source and campaign into a shared dashboard and a scheduled summary, with every figure traceable to the contact records behind it.
Workflow
From request to result
- 01
Lead arrives
A form, lead ad or WhatsApp message triggers the workflow, which records the source, campaign and click identifier before anything else happens.
- 02
Match, check and score
The contact is de-duplicated against the CRM, its consent is checked, it is tagged by service and location, and a score is applied using rules you have agreed.
- 03
Acknowledge and assign
The lead receives a reply on the channel it used, and the right owner is assigned and alerted with the enquiry details and any earlier history attached.
- 04
Nurture until ready
If the lead does not book or reply, a sequence of useful messages runs on agreed timings and stops automatically when the person responds, books or opts out.
- 05
Hand over to sales
When a lead crosses the agreed threshold or asks to speak to someone, the sequence pauses and a task is created for the owner with the full conversation.
- 06
Close the loop
Stage changes and deal values flow into reporting and, where you choose, back to ad platforms as conversions, so spend is judged on the customers it produces.
Capabilities
What the solution includes
Lead form and ad intake
Meta and Google lead form webhooks, website and landing-page forms, click-to-WhatsApp ads, live chat and call logs mapped into one intake with consistent fields and source details.
Contact matching and lead scoring
Duplicate detection on email and phone, enrichment from your own data and explainable scoring rules based on service, location, answers and engagement.
WhatsApp qualification and reminders
Acknowledgements, qualification questions, booking confirmations and appointment reminders through the WhatsApp Business Platform, with recorded opt-in and a handover to a person when the conversation needs one.
Behaviour-driven nurture sequences
Email and WhatsApp sequences triggered by stage, inactivity, a missed appointment or a quote left unanswered, each with clear stop rules.
Lifecycle and owner sync with your CRM
Lifecycle stages, owners, tasks and activity notes written to HubSpot, Zoho CRM, Pipedrive or an in-house CRM, with each field assigned to one system so automated updates do not overwrite a salesperson's changes.
Pipeline stages as ad conversions
CRM stages you choose, such as qualified, quoted or won, mapped to separate conversion actions with values and uploaded to Google Ads and Meta, with unmatched records logged for review.
Sequence performance reporting
Delivery, reply, booking and unsubscribe rates for each message in each sequence, shown next to leads, cost per qualified lead and revenue by source, so weak messages are easy to spot.
AI enquiry triage
A language model reads free-text form answers and WhatsApp messages, tags service, urgency and language, and filters out spam, job applications and supplier pitches before they enter a sequence. Suggested replies wait for a person to approve them.
Benefits
What changes for your organisation
Evening and weekend leads kept warm
Leads that arrive outside office hours get an acknowledgement and a booking option straight away, and the assigned owner sees them at the top of the list the next working morning.
Sales time spent on ready buyers
Reps receive leads that have engaged and been qualified, with the history attached, instead of working through an unsorted list.
Sequences that improve with evidence
Reply, booking and unsubscribe rates for each message show which ones help and which to rewrite, so sequences get sharper over time instead of going stale.
Consent you can evidence
Opt-ins and opt-outs are recorded with time and source and honoured across email and WhatsApp, rather than tracked from memory.
One coordinated voice per contact
Shared frequency caps and stop rules mean someone in two sequences, or reachable on both email and WhatsApp, receives one planned set of messages rather than overlapping ones.
Sequences marketers can change
Message wording, timings and stop rules are documented and kept apart from the integration logic, so the marketing team can adjust a sequence without risking the CRM sync.

Marketing Automation FAQ
Frequently asked questions
A CRM stores your contacts, deals and sales activity, while marketing automation acts on those records by capturing leads, sending follow-up and moving contacts between stages when something happens. The CRM is the system of record; automation keeps it current and keeps conversations moving. Many CRMs include basic email automation, but it rarely covers WhatsApp, several lead sources and ad-platform feedback together, which is where a separate orchestration layer such as n8n is useful.
No. n8n is an orchestration tool rather than a complete marketing platform, so it usually works alongside one. It does not design emails, host your contact lists or provide sending infrastructure of its own. What it does well is connect systems: pulling leads from several sources, applying routing and timing rules, triggering WhatsApp messages and keeping the CRM current. Many organisations keep a CRM or email platform for lists and campaign emails, and use n8n for the logic those tools cannot express or only offer on higher plans.
Usually not, as long as your current CRM offers an API or webhooks on the plan you pay for. Before quoting, we check whether the API allows the reads and writes the workflows need, what call limits apply on your edition, and whether pipeline stages and fields are tidy enough to automate against. If stages are unclear or the CRM is really a shared spreadsheet, we fix the structure first, because automation repeats whatever process it is given, including its gaps.
No. WhatsApp's business policies require a contact's opt-in before you message them, and any conversation your business starts must use a template Meta has approved. We collect opt-in on forms and in chat, store when and where it was given, and only start WhatsApp sequences for contacts with a valid record. Free-form replies are allowed within 24 hours of the customer's last message. Meta charges per template message at rates that vary by category and country, so we keep WhatsApp for the touches that matter and use email for the rest.
There is no fixed number: a sequence should run only while each message gives the person something useful, and stop the moment they reply, book, buy or opt out. We usually start with a short sequence where every message answers a common question or shows a relevant example, rather than repeating a reminder. Messages per contact are capped across all sequences, quiet hours and time zones are respected, and reply and unsubscribe rates are reviewed so weak messages are rewritten or removed.
Lead scoring adds points for signals that suggest a sale and removes them for signals that do not, and your sales and marketing leads agree those rules with us. Typical inputs are the service requested, budget or timescale answers, location, pages visited and whether the person replied or booked. We start with simple, explainable rules, test them against past leads that did and did not convert, and adjust. A model-based score only makes sense once you hold enough historical outcomes to train and test it.
We authenticate your sending domain, keep lists clean and send only to people who expect to hear from you. In practice that means SPF, DKIM and DMARC records, a separate subdomain for marketing mail, one-click unsubscribe and automatic removal of addresses that bounce. Gmail and Yahoo require these basics from bulk senders and watch complaint rates closely. New sending domains start with small volumes, and contacts who never open are moved to a slower track or removed, which protects delivery for everyone else.
We record first touch and last touch on every contact and keep every touch in between, so you can compare models instead of committing to one. First touch shows which campaigns introduce new people; last touch shows what prompted the enquiry. Because the full history sits in the event store, a weighted or multi-touch view can be added later without collecting the data again. Earlier visits can only be captured with the visitor's cookie consent, so some leads will only ever have a last touch, and reports say so.
Sometimes, but it depends on who they are and how you obtained their details, so the rule is set with your advisers rather than assumed. Under PECR, emailing individuals usually needs consent unless the soft opt-in applies: details gathered during a sale or quote, marketing of similar products and a clear chance to refuse each time. Addresses at limited companies follow different rules, though UK GDPR still applies. We encode the rules you approve, record each contact's basis and honour opt-outs across email and WhatsApp straight away.
Yes. Routing rules read the service requested, the location given or implied by the phone code, the language the person wrote in and the campaign they came from, then assign an owner and start the matching sequence. Rules can share leads in turn across a team, respect working hours in each country and reassign a lead nobody has touched within an agreed time. Sequences can run in English, Urdu or Arabic, and Meta approves each WhatsApp template language separately.
It is logged, acknowledged and assigned as soon as it arrives, even though nobody is at a desk. The person receives a reply on the channel they used, with an answer to their question where it is a common one and a link to book a call or visit. The assigned owner is notified, and the lead sits at the top of their list when the working day starts. If nobody acts on it by an agreed time, the workflow alerts a manager or passes it to a colleague.
A first release that captures leads from one or two sources, syncs them to your CRM and sends an acknowledgement with an owner alert is often live two to four weeks after discovery, as an indicative range. The main drivers are the number of lead sources, how clean the CRM data is, WhatsApp Business account verification and template approval, and how many sequences need writing. Scoring, further sequences and ad-platform feedback then follow in short releases you review every one to two weeks.
Costs depend on scope, so we give a fixed quote for the build after discovery and an estimate of monthly running costs before you commit. Build cost rises with the number of lead sources, integrations, sequences to write and reports. Running costs cover hosting for n8n and its database, your email sending service, Meta's WhatsApp template charges and any AI model usage. Unlike platforms priced by the number of contacts, the self-hosted community edition of n8n has no per-contact or per-execution licence fee, so running costs follow message volume rather than list size.
