Hospitality
Hospitality software for direct bookings, online ordering and guest messaging
We build ordering and reservation platforms, WhatsApp assistants and guest automation for restaurants, cafés, cloud kitchens and hotels, connected to the POS and booking systems you already run.
Overview
Technology for hospitality businesses
Hospitality technology is the set of systems a restaurant, café, cloud kitchen or hotel uses to sell tables, rooms and dishes directly, run service and stay in touch with guests: booking and ordering sites, POS and property management integrations, guest messaging and a guest CRM. Every one of these businesses sells perishable inventory: a table at eight tonight or a room for Friday cannot be sold tomorrow. Yet many venues still take bookings by phone in the middle of service, depend on delivery apps and online travel agencies that charge commission on every order and stay, and update menus, prices and availability by hand across several channels.
We build direct booking and ordering platforms, WhatsApp and web assistants that take reservations and answer guest questions from approved information, and automations that connect POS, reservation and property management systems wherever their vendors offer APIs. Guest data from bookings, orders and feedback comes together in one CRM, so returning guests are recognised and marketing reaches only the people who asked for it.
Busy periods differ across the markets we serve: Friday nights and Christmas parties in the UK, iftar and sehri service during Ramadan, Eid gatherings and wedding season in Pakistan and the Gulf. We design availability rules, menus and staffing forecasts around the calendar you actually trade on, and a named lead puts a working build in front of your managers every week or two so they can test it against real service.
Challenges
What hospitality businesses are up against
Commission on every aggregator order
Delivery apps help new customers find you, but commission on every order, plus the discounts venues are encouraged to fund, can leave little margin on dishes that were already priced tightly.
Bookings missed during service
The phone rings at the busiest point of the evening, Instagram and WhatsApp messages wait until closing, and guests who wanted a table book wherever answered first.
Menus that differ from channel to channel
Prices, dishes and sold-out items change in the POS but not on the website, QR menu, delivery apps or Google, so guests order food the kitchen cannot make.
Guest relationships held by booking platforms
Online travel agencies and reservation platforms hold guest details and history, leaving a hotel or restaurant unable to recognise returning guests or invite them back directly.
Reviews arriving faster than anyone can read them
Feedback on Google, booking sites and delivery apps goes unanswered, and recurring complaints about a dish, a room or slow service are noticed only after the rating has dropped.
Rotas and prep planned on instinct
Staffing and kitchen prep are set from experience, so quiet nights carry surplus staff and food waste while busy ones run short of both.
What we build
Technology solutions for this sector
Direct ordering and table booking sites
Next.js ordering and reservation sites with menu modifiers, delivery zones, pickup slots, deposits and payments through Stripe or local gateways, with orders sent straight to the kitchen or POS.
Reservation and enquiry assistants
AI assistants on WhatsApp and the website that check real availability, take and change bookings, answer questions from approved venue information and pass events or complaints to staff.
Central menu and availability control
One screen to edit dishes, prices, modifiers and sold-out items, with changes published to the website, QR menus and every other channel that offers an API.
Guest CRM and consented marketing
Bookings, orders and feedback merged into guest profiles, with opt-in birthday, anniversary and win-back messages sent by WhatsApp or email.
Hotel guest messaging and request routing
Pre-arrival forms, check-in details and in-stay requests handled on WhatsApp and routed to housekeeping, maintenance or reception, with every request tracked to completion.
Review monitoring and reply drafting
Reviews collected from Google and other platforms, grouped by theme with a language model, and draft replies that a manager edits and approves before anything is posted.
Covers forecasts for rotas and prep
Models trained on past bookings, orders, weather and local events that predict busy service periods and feed staff rotas and kitchen prep lists.
AI assistants answer allergen and dietary questions only from menu data your kitchen has approved, and refer anything uncertain to staff. We handle guest records and marketing messages with UK GDPR and PECR in mind, while card payments stay with your payment provider rather than on your own systems.
Typical projects
Where we usually start
- 01A restaurant group moving regular customers from delivery apps to its own ordering site, with loyalty credit for ordering direct
- 02A WhatsApp booking assistant that confirms tables, sends reminders and passes large-party and event enquiries to the manager
- 03A boutique hotel routing guest requests from WhatsApp to housekeeping and maintenance, then asking for feedback after checkout
- 04Weekly review summaries across Google and booking platforms, with AI-drafted replies a manager approves before posting
- 05A cloud kitchen running several brands, managing menus and sold-out items for every ordering channel from one screen

Hospitality FAQ
Frequently asked questions
Yes, and many venues run both side by side. Delivery apps are useful for being discovered by new customers, while a direct ordering site keeps repeat customers, their data and the full order value with you. We build ordering sites with your menu, delivery zones, pickup times and payment options, connected to your kitchen or POS so staff never re-enter orders. Packaging inserts, receipts and loyalty credit for ordering direct then encourage app customers to come to you next time, within the terms of your aggregator agreements.
Yes, as long as it reads and writes availability in the same system your team uses. The assistant does not keep its own diary. It checks live availability in your reservation platform, or in a booking system we build, through an API, offers matching times and creates the booking only when the guest confirms. Rules for party size, table turns, deposits and blocked dates are enforced by the booking system, not by the language model. Requests outside those rules, such as private hire or very large groups, go to a member of staff.
Only from information your team has approved, with a route to a person whenever there is doubt. We hold allergen and dietary details for each dish, including the 14 allergens UK food law requires businesses to declare, as structured fields maintained by the kitchen, and the assistant answers from those fields rather than forming its own view. It is instructed never to guess, to remind guests to tell staff about allergies when ordering and to hand serious or unusual requirements to a person. Any menu change updates the data, so answers stay in line with what is actually served.
Usually, yes, where the POS or property management vendor provides an API or a supported integration programme. Through that connection, online orders arrive as kitchen tickets, bookings update table or room availability and guest details flow into your CRM. Some older systems offer only file exports or no access at all, which limits what can be automated. We check the vendor's documentation and access terms during discovery, before quoting, so the proposal reflects what your systems genuinely allow rather than what we hope they allow.
Make booking direct easier and more rewarding than booking through an agency. That means a fast, mobile-friendly website with a booking engine connected to live availability, clear room photos and policies, and benefits that only direct guests receive, such as flexible cancellation, breakfast or a late checkout, offered within the terms of your agency contracts. Search visibility for your hotel name and location, paid search on brand terms and messages to past guests who opted in then bring people back to your own site instead of a listing.
AI can draft replies, but a manager should approve each one before it is posted. We collect reviews from the platforms you use, group them by theme such as food, service, cleanliness or waiting times, and draft a reply that reflects your tone and the specific points the guest raised. Managers then edit and post. A weekly summary shows which themes are rising, so recurring problems reach the head chef or housekeeping lead. We never generate reviews or reward guests for positive ones, because platform rules forbid it and it misleads future guests.
Collect only what you will use, with clear consent for marketing, and keep it in one secured system rather than on staff phones and spreadsheets. For most venues that means name, contact details, visit history, preferences and marketing permissions recorded separately for email, SMS and WhatsApp. We build guest databases and CRMs with UK GDPR and PECR in mind: consent is timestamped, unsubscribes take effect automatically, access is limited by role and records are deleted on request. Your legal adviser confirms the rules in each market where you operate.
Yes, once your booking and till history covers both quiet and busy seasons. For a restaurant the useful unit is covers per service period, split into bookings, walk-ins and delivery orders, because each needs different prep and staffing. The model adds known drivers such as day of the week, weather, local events, school holidays and the moving dates of Ramadan and Eid, and allows for the no-show rate on bookings. Its output is a prep list per kitchen section and a suggested headcount per shift, which the head chef and manager adjust. Hotels can apply the same approach to breakfast covers using occupancy.
