Enterprise AI adoption, legacy modernisation and system integration

We help large organisations put AI into specific workflows, replace ageing systems in stages and connect ERP, CRM, HR and finance platforms, working inside your identity, security review and change approval processes.

Overview

Technology for enterprises

Large organisations rarely lack ideas for AI or modernisation. They lack a safe path from idea to production. Data sits in ERP, CRM, document libraries and decades-old databases. Every change passes through security review, procurement and data protection, and touches several departments with different priorities. Pilots stall in that gap.

Softweb Planet works across the three moves most enterprises are making at once: adopting AI in specific workflows, modernising legacy applications without stopping operations, and integrating systems so data moves reliably between them. One team covers strategy, software engineering, AI, cloud and DevOps, which keeps decisions connected from the first workshop to the production rollout.

Different reviewers need different evidence. The data protection officer gets data flow diagrams, the security team a threat model and test results, the architecture board design options with their trade-offs, and the business sponsor working software every one to two weeks. A discovery call and a written proposal come first, and a named lead owns the written scope from then on.

Challenges

What enterprises are up against

  • AI pilots stuck in security review

A proof of concept built on sample data waits months for identity integration, a data protection impact assessment and a budget owner, and the sponsor has moved on before staff ever use it.

  • Every department queuing for one core system

Change requests for the ERP or an in-house core application wait months behind one small team, so departments build spreadsheets and side tools around it that nobody else can see.

  • A web of point-to-point integrations

Years of scripts, file transfers and one-off connectors link systems together, and a change in one place quietly breaks reports or processes somewhere else.

  • Departments buying AI tools on their own

Marketing, HR and finance each sign up for different AI products, data processing terms go unreviewed and nobody can list which models receive company data.

  • Policies that differ by site and folder

The same travel, expenses or IT policy exists in several versions across intranets, SharePoint sites and shared drives, so staff get different answers depending on which copy they find.

  • Reports that disagree between departments

Finance, sales and operations pull figures from different systems and spreadsheets, so a board pack starts with an argument about whose revenue or headcount number is right.

What we build

Technology solutions for this sector

  • AI use-case register and central model access

A register of every AI use case with its owner, data sources and risk rating, and one gateway through which approved model calls pass, applying logging, masking of personal data and spending limits per department.

  • Staff assistants over SharePoint, Confluence and Drive

Assistants that staff open through single sign-on, which search document libraries and internal systems within each person's existing access rights and cite the file and section behind every answer.

  • Agentic back-office automation

AI agents that match invoices to purchase orders, check new supplier details and triage IT service desk tickets through ERP and service management APIs, each with its own service account, sending exceptions and anything above a spending threshold to a named approver in Microsoft Teams.

  • Staged replacement of core applications

Modules are replaced starting where vendor support has ended or change requests queue longest, with reconciliation reports showing that old and new produce the same results before each switch-over.

  • Event streaming that replaces point-to-point scripts

Kafka topics for business events such as an order placed or an employee joining, an API gateway for live lookups and shared data definitions, so each system publishes a change once instead of feeding a dozen scripts.

  • Request and approval platforms

Web applications that replace spreadsheets and email chains for procurement, access and change requests, with role-based access, delegation rules, spending thresholds and a complete audit trail.

  • Cloud landing zones and delivery pipelines

Accounts, identity, networking and CI/CD pipelines defined in Terraform, giving modernised applications and AI workloads a governed home inside your own cloud tenancy.

For organisations with formal information security, data protection or AI governance standards, we work within your policies rather than our own defaults: your identity provider, your cloud tenancy, your logging and retention rules and your change approval process. We provide architecture documentation, data flow descriptions and test evidence for your security and risk reviews. Certification, risk acceptance and sign-off decisions remain with your organisation.

Typical projects

Where we usually start

  • 01A policy and procedures assistant for staff, connected to the document library through single sign-on and answering only from documents each employee can already open.
  • 02Replacing a legacy order management application module by module, with the old and new systems running side by side until each part is retired.
  • 03An integration layer that keeps customer, order and invoice data consistent between the ERP, the CRM and the finance system, with alerts when a flow fails.
  • 04A central model gateway that gives every department approved AI access with logging, personal-data masking and a monthly spend report per cost centre.
  • 05An approvals platform that replaces email chains for procurement requests, with delegation rules, spending thresholds and a full audit trail.

Enterprise FAQ

Frequently asked questions

Use Copilot where the work happens inside Microsoft 365, and consider a custom assistant where it has to reach beyond it. Copilot is built for drafting, summarising and searching the Microsoft 365 content each user can already open. It can be extended with connectors, but a custom build gives more control when answers depend on an ERP or service desk, when the assistant must act in those systems, or when your security team needs to choose the model, hosting region and logging. Many organisations run both, and we can test each against the same set of real staff questions before you commit.
