AI Agents & Multi-Agent Systems
AI agents that finish the work, not just the conversation
We design agents that read context, call your tools and APIs, coordinate with other agents and ask a person before anything irreversible happens. Built for production, with logs you can audit.
AI & Data
What is an AI agent?
An AI agent is software that uses a language model to plan steps toward a goal, call tools such as APIs, databases and business applications, check the results and continue until the task is done or a person needs to decide. A multi-agent system splits that work between specialised agents that hand tasks to each other.
Chatbots answer questions. Agents complete tasks: qualifying a lead and booking the call, reconciling an order against an invoice, drafting a reply from three internal systems, or preparing a weekly report nobody enjoys writing. The difference is tool access, memory of the task and clear rules about when to stop and ask.
We start from one workflow with a measurable cost, map every step and decision, and decide which steps an agent should own, which it should prepare for a person, and which it should never touch. Only then do we choose models, frameworks and integrations.
Every agent we ship has scoped permissions, an evaluation set built from your real cases, step-level logging and a human-in-the-loop path for exceptions. That is what turns an impressive demo into something your operations team will trust on a Monday morning.
Challenges
The problems we are usually brought in to solve
Demos that never reach production
Prototype agents work on curated examples, then stall on messy data, rate limits, permissions and edge cases nobody planned for.
Unclear boundaries of autonomy
Without explicit rules for what an agent may do alone, teams either over-restrict it into uselessness or accept risks they cannot explain.
Work spread across disconnected tools
The information an agent needs sits in a CRM, an inbox, a spreadsheet and an ERP, each with its own authentication and quirks.
No way to measure quality
Teams cannot say whether last week's prompt change made the agent better or worse, so improvements become guesswork.
Unpredictable running costs
Long reasoning chains and repeated tool calls can multiply model spend if nobody designs for cost from the start.
Capabilities
What the service covers
Single-purpose task agents
Focused agents for one job, such as lead qualification, order checks or report preparation, with narrow tools and tight guardrails.
Multi-agent orchestration
Planner, researcher, executor and reviewer agents that pass structured work between them, with a coordinator that tracks state.
Tool and API integration
Secure connectors to CRMs, ERPs, ticketing, email, calendars, databases and internal APIs, each with least-privilege credentials.
Human-in-the-loop approvals
Approval steps in Slack, email, WhatsApp or your own dashboard before payments, customer messages or record changes go out.
Retrieval and memory
Agents that search your documents and history through retrieval, and keep task memory without storing more personal data than needed.
Evaluation and regression testing
Test suites built from real cases that score accuracy, tool use and safety on every change, so quality is measured rather than assumed.
Observability and cost controls
Step-by-step traces, alerts on failures, token budgets and model routing that send simple steps to cheaper models.
Agent-ready back ends
APIs, queues and event streams that let agents act reliably, retry safely and recover from partial failures.
Our process
How an engagement runs
Every engagement has a named lead, a written scope and working software to review every one to two weeks.
- 01
Workflow mapping
We document one target workflow end to end: inputs, systems, decisions, exceptions and who is accountable for each outcome.
- 02
Autonomy design
We agree which actions the agent takes alone, which need approval and which are out of scope, then design tools and permissions to match.
- 03
Prototype on real data
A working agent runs against a sample of your historical cases so we can measure accuracy and failure modes before building further.
- 04
Harden and integrate
We add guardrails, retries, logging, approval flows and production connectors, and build the evaluation suite into CI.
- 05
Pilot and expand
A limited rollout with a named owner, weekly quality reviews and a backlog of the next workflows worth automating.

Use cases
Where it makes the biggest difference
Sales development agent
Researches inbound leads, scores them against your criteria, drafts a tailored reply and books qualified prospects into a calendar.
Operations reconciliation
Matches orders, delivery notes and invoices across systems, resolves simple mismatches and queues the rest for a person.
Internal knowledge agent
Answers staff questions from policies, wikis and tickets, and can raise requests in the right system on their behalf.
Reporting agent
Pulls figures from analytics, CRM and finance tools each week and writes a draft summary with the numbers linked to source.
Engineering assistant agent
Triages bug reports, reproduces issues from logs and prepares context for developers before they pick up the ticket.

Why Softweb Planet
Why teams choose us for this work
Engineers, not prompt writers
Our team builds the APIs, queues and cloud infrastructure agents depend on, so the agent and the systems around it are designed together.
Automation experience in production
We already run n8n, WhatsApp and CRM automations for clients, which gives our agent work a grounding in real operational edge cases.
Honest scoping
If a rules-based workflow or a simple assistant solves the problem better than an agent, we will say so and build that instead.
Cloud and DevOps in-house
DevOps and SRE engineers on the team mean agents ship with monitoring, secrets management and deployment pipelines from day one.
What you can expect
- Routine multi-step tasks completed without manual copying between systems
- People involved only for decisions that need judgement
- Measured quality on real cases, tracked over time
- Predictable model costs with budgets and routing
AI Agents & Multi-Agent Systems FAQ
Frequently asked questions
A chatbot responds to messages, usually by answering questions. An AI agent works toward a goal: it plans steps, calls tools such as your CRM or database, checks results and keeps going until the task is complete or it needs a person. Many projects combine both, with a conversational front end and agents doing the work behind it.
We limit what each agent can reach with least-privilege credentials, validate every tool call against rules, and require human approval for actions that are costly or hard to reverse, such as payments, deletions or customer-facing messages. Every step is logged, so if something unexpected happens you can see exactly what the agent saw and did.
Yes, as long as the systems expose an API, a database we can safely read, or a supported automation connector. We regularly integrate CRMs, ticketing tools, email, calendars, spreadsheets and custom back ends. Where a system has no API, we discuss safer options such as scheduled exports or a small integration service before considering screen automation.
A multi-agent system divides a complex job between specialised agents, for example one that researches, one that drafts and one that reviews, coordinated by an orchestrator. It helps when a task needs different tools, contexts or checks at different stages. For a single, well-defined workflow, one agent with good tools is usually simpler and cheaper to run.
We choose per task rather than by default. We commonly work with OpenAI, Azure OpenAI and Gemini models and evaluate open models where data residency or cost requires it. Planning steps may use a more capable model while simple extraction or classification uses a smaller, cheaper one. The choice is driven by measured accuracy on your cases.
We send models only the data a step needs, mask personal fields where possible, use enterprise API terms that exclude training on your data, and keep secrets in a managed vault. Access is scoped per agent and per tool. For sensitive workloads we can deploy within your cloud account and region and route requests through Azure OpenAI or a private gateway.
Before launch we build an evaluation set from real historical cases with known correct outcomes. Each change to prompts, tools or models is scored against it for task success, correct tool use and safety. In production we track completion rate, escalations, corrections made by people and cost per task, and review them with the workflow owner.
Timelines depend on the number of systems involved, data quality and how many approval steps are needed. A focused agent for one workflow with two or three integrations is often piloted within a few weeks of discovery. Multi-agent systems across several departments are delivered in phases, each adding a workflow once the previous one is stable.
Cost depends on scope: the workflow's complexity, the systems to integrate, security requirements and expected volume. We run a short discovery first, then give a fixed quote for the pilot and an estimate of monthly model and hosting costs at your volumes. That way you can compare the running cost with the time the agent saves before committing further.
In practice agents remove repetitive steps such as copying data between systems, first-draft writing and routine checks, so people spend their time on decisions, relationships and exceptions. We design each workflow with a named human owner and clear escalation paths, because the most reliable agent deployments keep people in control of outcomes.
Yes. We can deploy agents, their APIs and supporting databases into your AWS, Azure or Google Cloud account using containers and infrastructure as code, so you own the environment and the credentials. You keep the source code and documentation, and we can either hand over to your team or provide ongoing support and improvements.
Agents are designed to fail safely. When confidence is low, a tool returns an error or the case falls outside agreed rules, the agent stops, records why and hands the task to a person with the context it gathered. These escalations are reviewed regularly and often become the next improvements to tools, data or instructions.
