AI Automation & Workflow Automation
AI workflow automation for the admin your team repeats every day
We connect your CRM, WhatsApp, inboxes, spreadsheets and back-office tools with n8n and direct APIs, then add language-model steps to read, classify and draft where fixed rules fall short. Every workflow ships with retries, alerts and a named owner.
AI & Data
What is AI workflow automation?
AI automation is the use of workflow software, APIs and language models to run repetitive business processes with little manual effort. Rules-based steps move data between systems when an event occurs, while AI steps handle inputs rules cannot read, such as the intent of an email or the fields on a scanned form, with uncertain results sent to a person.
Much of a team's admin follows the same path every time. An enquiry arrives, someone copies it into the CRM, checks a spreadsheet, sends a WhatsApp message and sets a reminder to chase. Each step is simple. Together they take hours, and the step that gets forgotten is usually the one that loses the customer.
We build these flows in n8n and with direct API integrations, so triggers, branching, retries and logs are visible instead of living in one person's routine. Where a step needs reading or judgement, such as sorting free-text emails, pulling fields from a PDF or drafting a reply, we add a language-model step that returns structured fields, and the workflow checks them against your own data before it acts.
Results those checks cannot confirm go to a person, not straight to a customer or a ledger. Workflows are versioned, monitored and documented, and you own them. They run on n8n Cloud or in your own cloud account with credentials you control, and self-hosting avoids usage-based platform fees that climb as volume grows.
Challenges
The problems we are usually brought in to solve
Leads that wait for someone to notice
Enquiries from web forms, lead ads and WhatsApp land in different inboxes, and how fast anyone replies depends on who happens to be watching that day.
The same details typed into three systems
A new customer is keyed into the website admin, again into the CRM and again into the invoicing tool, and each copy collects its own typos.
Automations nobody remembers building
Zaps and scripts set up years ago run on a former employee's account, with no documentation and no alert when a connection expires or a step starts skipping records.
Inputs that fixed rules cannot read
Free-text emails, PDFs, scanned forms and voice notes need a person to interpret them before any system can act on the contents.
Per-task pricing that punishes volume
Automation platforms billed per task or operation get expensive as volumes rise, which quietly pushes high-volume steps back to manual work.
Follow-ups that depend on memory
Quote chasers, renewal notices and overdue-invoice reminders go out only when someone remembers, so they slip in exactly the weeks the team is busiest.
Capabilities
What the service covers
n8n workflow engineering
Event-driven and scheduled workflows with sub-workflows, error handlers and separate credentials per environment, self-hosted or on n8n Cloud.
Event-triggered WhatsApp messages
Order, booking, payment and delivery updates sent as approved template messages, with variables filled from your CRM or store and delivery status written back to the record.
CRM and pipeline automation
Contacts created and enriched from every channel, deals moved when events happen, tasks assigned and follow-ups scheduled without anyone having to remember.
Google Workspace workflows
Gmail, Sheets, Drive, Calendar and Forms steps for intake, approvals, filing and scheduling, using service accounts scoped to the folders and inboxes each workflow needs.
AI steps inside a workflow
A model call at the one point that needs reading or judgement, such as the intent of an email or the totals on a PDF, with its output checked against your data before the next node runs.
Code steps and custom connectors
JavaScript or Python code steps, plus small Node.js or FastAPI services for systems without a ready n8n node, with RabbitMQ buffering bursts of incoming events.
Wait-for-approval steps
Runs that pause until someone approves or rejects a refund, discount or record change from an email link or form, with the decision and approver saved against the record.
Error workflows and run history
A dedicated error workflow reports the failed step and its input to Slack, email or WhatsApp, and stored executions let a corrected workflow re-run the data that failed.
Our process
How an engagement runs
Every engagement has a named lead, a written scope and working software to review every one to two weeks.
- 01
Process walkthrough
We sit with the people who do the work and record each step, system, owner and exception, along with the volume behind it.
- 02
Choose the first workflow
Candidates are ranked by volume, cost of errors and integration effort, and we agree one workflow with a clear before-and-after measure.
- 03
Build against real records
The workflow runs in a staging copy of n8n on a sample of real records, awkward cases included, before it can reach a customer or a live system.
- 04
Add guardrails and alerts
We add validation, retries, approval steps, error notifications and run logs, and test every AI step on your own examples with a clear rule for when a person decides.
- 05
Go live and hand over
The workflow switches on with a named owner, a written runbook and a short review period, then we move to the next item on the list.

Use cases
Where it makes the biggest difference
Order and delivery updates on WhatsApp
When an order is dispatched, delayed or delivered, the status change in your store or courier system sends the customer a template message and logs it on the order.
Quote request to draft proposal
A website quote request creates the CRM deal, fills a Google Docs proposal template from the form answers and sets a follow-up task for the salesperson who owns the territory.
New starter onboarding
A signed offer letter triggers account requests, a shared Drive folder, induction calendar invites and a checklist that shows which steps are still open.
Invoice and payment reminders
Due and overdue invoices trigger courteous reminders by email or WhatsApp, and paid status is synced back from the accounting system.
Stock and reorder alerts
Stock levels and supplier price files are checked on a schedule, and buyers receive one list of items to reorder or reprice instead of a spreadsheet to scan.
Application and claim forms
Forms arriving as PDFs or photos are read by an AI step, required fields are checked for format and completeness, and incomplete submissions get an automatic request for what is missing.
Industries
Industries we apply this to
Why Softweb Planet
Why teams choose us for this work
Low-code where it helps, code where it does not
Simple steps stay as visual n8n nodes your team can read, while complex logic moves into tested code or a small service instead of a chain of workarounds.
Self-hosting set up by DevOps engineers
If you self-host n8n, our DevOps and SRE engineers deploy it with PostgreSQL, backups, encrypted credentials, an update routine and uptime alerts in your own cloud account.
Failure cases tested before go-live
In staging we deliberately expire a token, rename a CRM field and send the same webhook twice, so you see how each workflow recovers before it touches live data.
Small releases, reviewed often
One named lead works from a written scope, and at each one-to-two-week review you watch the next workflows process real records in staging, rather than waiting for one large launch.
What you can expect
- Every enquiry acknowledged and logged, whichever channel it arrives on
- Less retyping between systems and fewer duplicate or missing records
- Failures surfaced by alerts rather than by customers
- A documented list of every workflow, its trigger, owner and credentials
- Running costs estimated before the build and tracked as volume grows
AI Automation & Workflow Automation FAQ
Frequently asked questions
Traditional workflow automation follows fixed rules, while AI automation adds language-model steps for inputs those rules cannot read. A rule can create a contact when a form is submitted. It cannot decide which team a free-text complaint belongs to or find an invoice number in a scanned PDF. Most workflows we build are mainly rules with one or two AI steps, because deterministic steps are cheaper, faster and easier to test.
We use n8n by default because it can be self-hosted, handles complex branching and code steps, and carries no usage-based platform fees when you run it yourself. That keeps costs predictable as volume grows and keeps run data inside an environment you control. Zapier or Make can still suit a few simple, low-volume flows owned by a non-technical team, and we recommend them when they are the better fit.
Yes. A status change such as an order dispatched, an appointment confirmed or an invoice falling due can trigger a WhatsApp message through the official Business API. Because these messages usually start outside the 24-hour customer service window, each one uses a template approved by Meta, with variables such as name, order number or date filled from your system. Delivery and read statuses are written back to the CRM record, and an opt-out is recorded so later workflows skip that contact.
In most cases, yes. n8n has built-in nodes for widely used tools such as HubSpot, Pipedrive, Zoho CRM, Xero, QuickBooks Online, Shopify, WooCommerce, Gmail, Google Sheets and Slack, plus a generic HTTP Request node for any system with a REST API. When a tool offers neither, we write a small Node.js or Python connector or work from scheduled exports. We check each system's API limits and permissions during discovery, before quoting.
Self-hosting suits organisations that want data to stay in their own cloud account, expect high volumes or need custom nodes, while n8n Cloud suits smaller teams who would rather not run a server. When we self-host, we deploy n8n in Docker inside your own cloud tenancy on AWS, Azure or Google Cloud, with a PostgreSQL database, backups, encrypted credentials, an update routine and uptime alerts. We compare both options and their running costs during discovery.
The run pauses and a person decides. An AI step returns structured fields, and the workflow checks them against your data, for example that an order number exists or a category is on the allowed list. Anything that fails a check, or that the model marks as unclear, goes to a review queue in email, Slack or a simple form. Each reviewer correction is logged, and those corrections become test cases for the next prompt change.
Each failure sends an alert to a named person with the workflow name, the failed step and the error message. In n8n we attach a dedicated error workflow that posts these details to email, Slack or WhatsApp, and temporary faults such as timeouts are retried automatically first. Failed executions are stored, so once the cause is fixed the same data can be re-run rather than re-entered. A scheduled check also flags workflows that have gone quiet when they would normally be busy.
Build cost depends on the number of workflows, the systems involved and how much AI processing is needed, and it is quoted as a fixed price once discovery is complete. Running costs have three parts: the n8n Cloud plan or the server for self-hosting, model usage for AI steps, which is billed per token, and any per-message charges, such as Meta's fees for WhatsApp template messages. We estimate each part at your expected monthly volume before you approve the build.
As an indicative range, a small, well-defined workflow is often live two to four weeks after discovery, while larger processes are delivered in stages. The main drivers are how many systems are involved, the quality of their APIs, the number of exceptions and whether AI steps need an evaluation set. Routing website leads into a CRM with a WhatsApp follow-up sits at the simple end; order-to-invoice flows across departments take longer.
Yes. We start by listing every existing automation: its trigger, the account it runs under, the app connections it uses, who relies on it and how often it fails. Common causes are expired connections, renamed fields, filters that no longer match and plan limits being reached. For each one we then recommend repairing it where it is, merging it with similar flows or rebuilding it in n8n, and we add alerts and documentation either way.
Only the fields each step needs, because we design every workflow around data minimisation. Personal details are removed or masked before AI steps that do not require them, and model calls run on business API terms under which your inputs are not used for training. In a self-hosted n8n, credentials are encrypted with a key you hold, saved execution data is pruned after an agreed period and successful runs can be set not to store data at all. Workflows are designed with UK GDPR in mind.
Use a workflow when the steps are known in advance, and consider an agent only when the path changes from case to case. A workflow with AI steps is predictable, cheaper to run and easier to audit, so it covers most operational processes. An agent that plans its own steps suits open-ended tasks such as researching a lead across several sources. We usually start with a workflow and add an agent later if the exceptions justify it.
Yes, and we set things up so they can do it safely. Simple edits such as new email wording, an extra field or a different recipient can be made in the n8n editor by a trained member of staff. We keep a staging copy for testing, export workflow definitions to version control so changes can be compared and rolled back, and write a runbook for each workflow. If you prefer, we handle changes and n8n upgrades under a support agreement.
