AI Chatbots & Virtual Assistants
Chatbots that resolve the request or hand it to the right person
We build conversational assistants for your website, WhatsApp and mobile app that answer questions, look up orders, book appointments and capture leads. When a conversation needs a person, the full transcript goes with it to your support or sales team.
AI & Data
What is an AI chatbot?
An AI chatbot is a conversational interface that uses a language model to understand messages written in everyday language and reply on channels such as a website, WhatsApp or a mobile app. A virtual assistant goes further, connecting to business systems to check orders, book appointments or capture leads, and handing the conversation to a person when needed.
Customers rarely want to chat. They want an order found, a booking moved or a question answered at nine in the evening on the channel they already use. A good assistant gets them there in a few messages, and a good handover means they do not have to repeat themselves when a person takes over.
We design the conversation before choosing the technology: the requests people actually send, the information needed to resolve each one, the systems the assistant must check and the moments it should step aside. Language models cope with the variety of real messages, while business rules decide what the assistant may say and do.
Assistants run in a website widget, on WhatsApp through the official Business API, or inside your React Native or Flutter app, often all three from one back end. Conversation analytics show which requests are resolved, which are handed over and where people give up, so improvements are based on evidence rather than anecdotes.
Challenges
The problems we are usually brought in to solve
Scripted bots that frustrate customers
Button-driven decision trees break as soon as someone types a question in their own words, and customers learn to type agent until a person appears.
Handovers that lose the thread
When a bot passes a chat to staff without context, customers repeat themselves and the team spends the first minutes catching up.
Channels answering differently
Website chat, WhatsApp and in-app messages often run on separate tools with separate content, so the answer depends on where the customer asked.
No access to live account data
A bot that cannot check order status, availability or account details can only point customers elsewhere, which resolves nothing.
WhatsApp messaging rules
Template approval, the customer service window and opt-in requirements are easy to get wrong, risking blocked numbers or messages that never arrive.
Mixed-language messages
Customers in Pakistan mix English, Urdu and Roman Urdu in one chat, and Saudi customers move between Arabic and English, which keyword-based bots cannot follow.
Capabilities
What the service covers
Website chat widgets
Lightweight, accessible widgets for Next.js, React or WordPress sites, styled to your brand and able to pass page context into the conversation.
Conversational WhatsApp assistants
Free-text conversations on the official WhatsApp Business API, with reply buttons and list menus where choices are fixed, voice notes transcribed before the model reads them and templates kept for follow-ups.
In-app assistants
Chat embedded in React Native or Flutter apps that uses the signed-in customer's identity to answer account-specific questions securely.
Conversation design
Request mapping, tone of voice, clarifying questions, error recovery and escalation triggers written and tested with your support team.
Transactional integrations
Order lookups, appointment booking, lead capture, ticket creation and payment links connected to your CRM, helpdesk, booking or store platform.
Human handover and shared inbox
Routing to the right team by topic, language or customer value, with the transcript, collected details and a suggested next step attached.
Multilingual conversations
English, Arabic, Urdu and Roman Urdu support, with right-to-left display and replies that follow the language the customer chose.
Conversation analytics
Dashboards for resolution, handover reasons, unanswered questions and drop-off points, with sampled transcripts for regular quality reviews.
Our process
How an engagement runs
Every engagement has a named lead, a written scope and working software to review every one to two weeks.
- 01
Conversation audit
We analyse existing chat logs, emails and call reasons to find the requests that are frequent, repetitive and resolvable without a person.
- 02
Flow and handover design
For each priority request we define the details needed, the systems to check, the replies allowed and the exact conditions for passing to staff.
- 03
Build and connect channels
The assistant back end, knowledge sources and integrations are built once, then connected to the website, WhatsApp or app channels in scope.
- 04
Test with real conversations
Historical and scripted chats, including rude, off-topic and mixed-language messages, are replayed to check answers, actions and handovers before launch.
- 05
Soft launch and weekly review
The assistant starts on one channel or customer segment, and weekly transcript reviews decide which requests it should take on next.

Use cases
Where it makes the biggest difference
Order tracking and returns
Customers ask where their order is or how to send something back, and the assistant checks the store system and starts the return when eligible.
Appointment booking and reminders
Clinics, salons and service businesses let customers book, move or cancel appointments on WhatsApp, with reminders sent from approved templates.
Lead qualification for property and courses
The assistant asks qualifying questions, records the answers in your CRM and books a viewing or call with the right adviser.
Telecom account queries
Signed-in customers check balances, packages or service status in the app, and disputes or cancellations go straight to a human agent.
Restaurant and hotel enquiries
Venues answer menu, availability and event questions and take reservations outside staffed hours, passing special requests to the team.
Admissions helpdesk
Prospective students get answers on courses, fees and deadlines, and applicants with complex cases are handed to admissions staff with details attached.
Industries
Industries we apply this to
Why Softweb Planet
Why teams choose us for this work
Automation engineers behind the conversation
The engineers who build our n8n workflows and CRM integrations connect the assistant, so template rules, CRM fields and handover queues are designed with the conversation rather than added later.
Design, web and mobile in one team
UI/UX, web and mobile specialists work on the widget, the in-app experience and the conversation design together, without handoffs between agencies.
Roots in digital growth
Having started in websites and digital marketing, we connect assistants to lead tracking and campaign data, so you can see which channels drive useful conversations.
Run like a production service
Our DevOps and SRE engineers put assistants live with uptime monitoring, alerting and logs, because a chatbot that fails at night fails when customers rely on it.
What you can expect
- Routine requests resolved at any hour on the channels customers already use
- Handovers where staff receive full context and customers do not repeat themselves
- Consistent answers across website, WhatsApp and app
- Enquiries logged in your CRM with their source and conversation history
- Clear evidence of which requests to automate next
AI Chatbots & Virtual Assistants FAQ
Frequently asked questions
A rule-based chatbot follows fixed buttons and keywords, while an AI chatbot uses a language model to understand messages in whatever wording the customer chooses. That lets it handle typos, follow-up questions and mixed languages. We still use rules where they matter: what the assistant may promise, which actions need verification and when it must hand over. The combination gives flexible conversation with predictable outcomes.
Yes, on the official WhatsApp Business API, where the assistant can hold free-text conversations, accept photos and voice notes, and offer reply buttons or list menus when the choices are fixed. Meta's rules allow AI assistants that serve your own customers about your business but not general-purpose AI chatbots, so each assistant stays scoped to your services. Replies inside the customer service window are free-form, later follow-ups use approved templates, and staff can take over from a shared inbox.
Yes, and we usually recommend it. The assistant's logic, knowledge and integrations sit in one back end, and each channel is a thin connector that adapts formatting, buttons and media to what that channel supports. Customers get the same answers wherever they ask, your team maintains one set of content, and analytics can compare how each channel performs.
The assistant passes the conversation to a person when a request falls outside its scope, the customer asks for someone, or a rule such as a complaint or a high-value order requires it. The handover routes to the right team in your helpdesk, CRM or shared inbox, with the transcript, the details already collected and a short summary. Outside staffed hours, the assistant sets expectations and creates a ticket instead.
Yes, through APIs to the systems that hold the data, such as your store platform, booking tool, CRM or a custom back end. A small integration layer sits between the assistant and those systems and exposes named actions, such as order status or move booking, instead of open database access. Read-only lookups come first. Actions that change something, like cancelling a booking, ask the customer to confirm, and account details are shared only once the customer is identified by a method you approve.
Yes, current language models generally handle English, Urdu, Roman Urdu and Arabic, including messages that switch between them mid-sentence, but quality varies by model and dialect. We test each language on real messages from your customers before choosing a model. The assistant replies in the customer's language, website widgets support right-to-left layout, and WhatsApp templates are prepared in every language you serve. Fixed wording such as policy text can be reviewed by your team per language.
It can, which is why we restrict where its answers come from and test it against hostile conversations before launch. Prices, stock, policies and eligibility are read from your systems or approved documents, never from the model's general knowledge. Topic limits stop it discussing competitors, legal or medical advice and anything outside your services, and test scripts include customers trying to talk it into discounts or unrelated tasks. Transcript reviews after launch catch tone and accuracy problems for correction.
Yes. The assistant asks the qualifying questions you define, validates contact details and creates or updates the lead in your CRM with the source page, campaign and full transcript attached. Qualified leads can be booked straight into an adviser's calendar or routed to a salesperson on WhatsApp. Consent for follow-up messages is recorded with the lead, built with UK GDPR and PECR in mind.
Yes. We index your website pages, FAQs, help articles and documents such as price lists or brochures, and the assistant answers from them with a link to the page it used. The index re-syncs when pages change, so answers follow your site rather than a copy pasted into a prompt. When a question is not covered, the assistant says so and offers a person instead of guessing. Large or permission-restricted libraries call for a fuller retrieval system.
Use an off-the-shelf platform if your help centre answers most questions, one channel is enough and its pricing works at your volume. A custom assistant earns its place when it must look up orders or bookings in your own systems, serve website, WhatsApp and app from one back end, handle Roman Urdu reliably or follow handover rules a platform cannot express. Per-conversation or per-resolution fees also add up at high volume. We give that recommendation during discovery, even when it means not building.
Timelines depend on the number of channels, the integrations needed and how much existing content and conversation history we can work from. An assistant covering frequent questions and lead capture on one channel can often launch within a few weeks of discovery. WhatsApp approval steps, account integrations and additional languages add time, so larger assistants are usually released channel by channel.
Pricing depends on scope, and you receive a fixed quote after discovery. The build is shaped by the number of channels, conversation flows, integrations and languages. Running costs include model usage per conversation, hosting and, for WhatsApp, Meta's charges for template messages. We project the monthly figure from your expected conversation volumes, so you can compare the assistant with the staff time those same requests take today.
Yes, through an admin view we build for content changes: answers, opening hours, holiday messages, handover rules and the documents the assistant draws on. Changes to integrations, conversation flows or the model still go through developers and the test suite, because they can break things customers rely on. After launch, either your developers take over with our documentation, or we provide support covering transcript reviews, new flows, WhatsApp template updates and model upgrades, agreed in a written scope with a named lead.
