AI & Machine Learning Development
Custom machine learning and NLP models, trained on your data and tested before launch
We build custom machine learning, NLP and predictive models for problems that rules and generic AI services handle poorly. Each model is trained on your history, measured against a fair baseline and delivered behind an API your applications can call.
AI & Data
What is AI and machine learning development?
AI and machine learning development is the work of turning an organisation's own data into models that predict, classify, rank or extract information, then deploying those models into production software. It covers problem framing, data preparation, feature engineering, training, evaluation against a baseline, and the APIs, monitoring and retraining that keep predictions useful after launch.
Language models get the headlines, yet many valuable business questions are still classic machine learning. Which customers are likely to cancel? How much stock will each branch need next month? Which transactions look unusual? Which team should handle this ticket? These questions come with structured history and a clear right answer. Running a model trained on that history costs a fraction of a language model call per prediction. Whether it is also more accurate is something we test on your records rather than assume.
We start by framing the decision the model supports and agreeing how success will be measured, including what a simple rule or last year's average already achieves. That baseline matters. If a model cannot beat it convincingly on data it has never seen, we tell you before you pay for a production build.
When a model earns its place, we package it as a versioned service with input validation and logging, connect it to the CRM, ERP or product that acts on its output, and set up retraining so accuracy holds as your data changes. NLP work follows the same discipline, whether it uses a classical classifier, a fine-tuned transformer or a hosted language model held to a strict test set.
Challenges
The problems we are usually brought in to solve
Data that was never collected for modelling
Historical records sit across spreadsheets, ERPs and CRMs with inconsistent IDs, missing values and definitions that changed over time, so the training set has to be built before the model can be.
No baseline to compare against
Teams train models without first measuring what a simple rule or moving average achieves, so nobody can say whether the model adds anything.
An accuracy score stuck in a notebook
The model tested well on a data scientist's machine, but there is no API, no input checks and no way for the business application to request a prediction.
Rare outcomes hidden by overall accuracy
Fraud, equipment failure and churn are uncommon events, so a model can look accurate overall while missing nearly every case that actually matters.
Predictions people will not act on
When a score arrives without reasons, planners and managers cannot judge it and quietly go back to their spreadsheets.
Capabilities
What the service covers
Predictive analytics and forecasting
Demand, sales, cash flow and workload forecasts at the level you plan at, such as product, branch or week, with ranges rather than single numbers.
Classification and scoring models
Churn risk, lead scoring, risk scoring and propensity models that rank records so teams act on the most important ones first.
Natural language processing
Text classification, entity extraction, sentiment and intent detection on tickets, emails, reviews and documents, including multilingual text where suitable training data exists.
Anomaly and fraud detection
Unsupervised and semi-supervised models that flag unusual transactions, readings or behaviour for review, tuned to the alert volume your reviewers can handle.
Recommendation and ranking
Product, content and next-step recommendations built from purchase and behaviour history, with business rules applied on top.
Feature engineering and leakage checks
Signals built from raw history, such as rolling averages, days since last order, seasonal flags and text embeddings, each checked so no feature uses information that would not exist at prediction time.
Explainable predictions
Per-prediction reason codes, overall feature importance and plain-language summaries so users can see why a record received its score.
Model serving and integration
Models packaged as FastAPI services or scheduled batch jobs, with input validation and version tags, connected to your CRM, ERP or product.
Our process
How an engagement runs
Every engagement has a named lead, a written scope and working software to review every one to two weeks.
- 01
Frame the decision
We agree what the model predicts, who acts on it, how often, and which metric reflects business value, such as missed fraud weighed against false alarms.
- 02
Profile the data and set a baseline
We profile your historical data, check for gaps and leakage, and measure what the current method or a simple rule achieves over the same period.
- 03
Feasibility model
A first model is trained on earlier data and tested on a later period it has not seen, so results reflect how it would perform in real use.
- 04
Productionise and integrate
We build the feature pipeline, serving API, validation and logging, then surface predictions in the screen or workflow where decisions are made.
- 05
Monitor and retrain
After launch we track input data, prediction quality and business outcomes, and retrain on a schedule or when monitoring shows performance slipping.

Use cases
Where it makes the biggest difference
Customer churn prediction
Scores subscribers or account holders each week by likelihood to cancel, with the main reasons, so retention teams contact the right people first.
Demand and stock forecasting
Forecasts sales by product and location so purchasing and replenishment follow expected demand rather than last month's orders.
Ticket routing learned from past cases
A classifier trained on your resolved tickets and the team that closed each one assigns category and queue to new tickets, and passes low-confidence ones to a person.
Refund and expense claim review
Flags refunds, credit notes or expense claims that look unusual for that customer, employee or branch, and sends each to a reviewer with the factors behind the flag.
Lead and opportunity scoring
Ranks inbound enquiries by likelihood to convert using won and lost deals in your CRM, and writes the score and its main reasons back to the lead record.
Survey and review theme tracking
Clusters review text, survey comments and call notes into recurring themes with sentiment, and tracks how each theme grows or fades month by month.

Why Softweb Planet
Why teams choose us for this work
Modelling and serving designed by one team
Our senior AI/ML engineer, who is Azure certified and works on generative AI, sits with our backend and DevOps engineers, so features are chosen from data that will actually be available when a live prediction is requested.
Baselines before budgets
We measure a simple baseline first and say plainly when a model does not beat it, so a production build is only proposed when the model clearly adds something.
Data findings and model scores at each checkpoint
Each engagement has a named lead and a written scope. Every one to two weeks you review something concrete: the data audit, baseline numbers, held-out test scores, then a callable endpoint.
Scoring jobs and retraining set up by DevOps
Our DevOps and SRE engineers, who work across AWS, Google Cloud, Kubernetes and CI/CD, build the prediction API, batch scoring schedule and retraining pipeline as part of the project.
What you can expect
- Churn, demand and risk decisions backed by tested predictions rather than instinct
- Models your applications call through a documented, versioned API
- Clear evidence of model value against a baseline before scaling up
- Routine text sorting and tagging handled automatically, with people reviewing uncertain cases
AI & Machine Learning Development FAQ
Frequently asked questions
What matters is how many examples of the outcome you have, not the total number of rows. A churn model needs enough past cancellations with the customer history leading up to them. A demand forecast needs at least two full seasonal cycles per product group, and a fraud model needs confirmed fraud cases, not only suspicious ones. We assess this during the data audit and tell you whether to start now, collect more data or begin with a simpler method.
Use custom machine learning when you have structured historical data and a clear outcome to predict, such as churn, demand, risk or a category. For these tasks a trained model is faster and much cheaper per prediction than a language model, and on tabular data it is frequently more accurate, which we confirm by testing both on your records. LLMs are stronger at open-ended text, drafting and reasoning over documents. Many systems combine both, for example a language model extracting fields from emails and a classifier scoring the result.
We measure it on data the model has never seen, against a baseline and a metric chosen for the business decision. For a forecast that might be error by product and week compared with your current method. For fraud or churn it is how many real cases are caught against how many false alarms reviewers must handle. We test on a later time period than training to mimic real use, and agree an acceptance threshold before launch.
We build text classification, entity and field extraction, sentiment and intent detection, topic grouping, duplicate detection and search ranking. Typical inputs are support tickets, emails, chat transcripts, reviews, survey answers and contracts. Depending on volume, language and accuracy needs, we use classical models, fine-tuned open transformer models from Hugging Face or a hosted language model, each evaluated on a labelled sample of your own text.
Most supervised models need labelled data, and yes, we can help create it. Labels often already exist in your systems, such as ticket categories, cancellation dates or approved and rejected claims. Where they do not, we write a labelling guide, set up a simple annotation workflow and add a review step so your domain experts label a focused sample. Later rounds go faster because the model suggests labels for people to confirm.
Yes, and for decisions that affect customers or money we treat explanation as a requirement. Each prediction comes with its main contributing factors, for example a recent drop in usage or late payments behind a churn score, alongside overall feature importance for the model. Where the accuracy difference is small we also prefer simpler, more interpretable models, because a prediction people understand is far more likely to be used.
We deploy the model either as a versioned API, usually a FastAPI service in a Docker container, or as a scheduled batch job that writes scores into your database. Your CRM, ERP or application then shows the prediction where users already work. Inputs are validated, every prediction is logged with the model version, and the deployment can run in your own AWS, Azure or Google Cloud account.
A feasibility model for one well-defined prediction typically takes a few weeks after discovery, provided the data can already be exported. The main drivers are data readiness, the number of sources to join and how predictions will be used. The feasibility result tells you whether a full build is worthwhile. Production integration, monitoring and retraining follow in further phases, with working results to review every one to two weeks throughout.
Cost depends on scope, and the largest driver is usually data preparation rather than model training. Model complexity, the systems to integrate and how often predictions must run also matter. After a discovery call we send a written proposal, usually recommending a fixed-price feasibility phase first so you see real accuracy on your data before committing to production. Once scope is agreed we give a fixed quote for the build and an estimate of ongoing hosting and retraining costs.
You do. Training code, feature pipelines, trained model files, evaluation reports and documentation are delivered into your repositories and cloud accounts. We do not use your data to train models for other clients. If you later bring the work in-house, your team has everything needed to retrain, test and redeploy the model without depending on us.
We use only the fields a model genuinely needs, pseudonymise identifiers where possible and keep training data inside your chosen cloud region with access limited to named engineers. For UK clients we design with UK GDPR in mind, including retention rules and the ability to exclude a person's records from future training runs. We work within your compliance requirements, and your legal adviser confirms specific obligations.
Yes. We start by reviewing the existing code, data, validation method and metrics, because underperforming models often suffer from data leakage, an unrealistic test split or features that are not available at prediction time, rather than the wrong algorithm. We then recommend fixes, retrain and compare against your current version on the same held-out data, and either productionise the improved model or hand the changes back to your team.
